Using Regsta in Denmark

Regsta is made in Aalborg. This page covers what is specific to companies in Denmark: the CVR number, the working-time documentation rules, payroll files and collective agreements.

Your company and its CVR number

Companies in Denmark are identified by their CVR number, the number in the Danish Central Business Register. Regsta builds payroll files under your CVR number and will not build one without a valid number.

Working-time documentation

Since 1 July 2024, employers in Denmark must have an objective, reliable and accessible system for recording each employee's daily working time. Employees must have access to their own information, and the information is, as a rule, kept for five years after the end of the reference period.

Regsta gives each employee a way to record daily working time, lets employees see their own hours, and gives the employer the history. It is part of Free, not an add-on.

The employer remains responsible for meeting the rules. Regsta supports the documentation. Whether your documentation meets the law also depends on how you use Regsta.

Rest and weekly hours

These checks warn. They do not stop anyone from recording the hours they worked.

11 hours' rest

Regsta warns when there are fewer than 11 hours between two shifts, the daily rest in Arbejdsmiljøloven § 50 (the Danish Working Environment Act).

48-hour average

Regsta follows each employee's average weekly hours over the reference period, four months by default, and warns at 90 % of the 48-hour limit.
The 48-hour figure is a configured signal based on recorded working time, not a legal verdict. Holiday, sickness and special agreements are not taken into account; review those yourself.

How long entries are kept

Time entries, corrections and approvals are kept for at least five years after the reference period. The default is 1,946 days, and an admin can choose a longer period, up to 3,650 days. When the period ends, the data is deleted automatically, and each deletion run is written to the audit trail.

Payroll files for Danløn, ProLøn, DataLøn and Lessor

Approved hours can be downloaded as CSV or as a payroll file built for import into Danløn, ProLøn, DataLøn or Lessor. Each file comes with a reconciliation report and a SHA-256 checksum.

  • These are files, not integrations. Regsta does not send the file to the payroll system. You import it.
  • Check the wage type codes with your payroll bureau before the first import.
  • Only approved hours go into the file.

Overenskomst (collective agreement) profiles

Regsta has three standard profiles for supplements: 3F Transport, DI Industri and Dansk Erhverv. Check the rates against your current overenskomst before you rely on them.

A payroll file is only built once your company has chosen a profile, so one agreement's supplements do not end up in another company's file. If your agreement is not one of the three, Regsta has no profile for it.

When Arbejdstilsynet visits

The inspection folder collects hours, approvals, corrections, the audit trail and compliance status in one ZIP file with a SHA-256 file list. You can show it if Arbejdstilsynet (the Danish Working Environment Authority) inspects your working-time documentation.

No authority has reviewed the format, so we make no promise about how an inspector will assess it.
